Everything is in the Cloud these days
Why a Cloud-based collaboration tool is the only way to go.
When you’re expanding your small team into a larger one, collaboration becomes crucial for success. In today’s cloud-driven world, it makes sense to utilize cloud-based collaboration tools. These tools offer what I call the three “easies”: Easy Access, Easy Sharing, and Easy Tracking.
Easy Access
Cloud-based tools mean you can access information from anywhere, at any time. Install the program on your computer, log in, and you’re ready to go. Many tools can be downloaded directly from their websites, making it even simpler to start. Here are five tools to consider, each offering a free version to get you started, with paid options for more features:
Do not try them all at once. Instead try out one for a couple of months, and then try the next. Do try at least tow or three. This ensures you get a feel for how they will help in your daily workflow. These tools are also excellent for customer communication. For example, Lush Cosmetics uses Slack to facilitate communication between their manufacturing teams, retail staff, and corporate offices. Slack channels allow for quick information sharing, problem-solving, and coordination of production schedules, maintaining high-quality standards and efficient operations.
Easy Sharing
Cloud-based collaboration tools simplify sharing information with new and existing team members. As your team grows, you can easily add new members and get them up to speed. No need to remember to send files or ensure they have a company computer—just set them up with a login. For sensitive information, you can control access to protect trade secrets or customer data. You can also revoke access when employees leave the company.
These tools enable sharing across offices, regions, or even globally. Zebra Technologies uses Trello to manage product development projects, coordinate tasks among different teams, and ensure transparency in the production process. Trello’s visual boards streamline workflows and keep everyone updated on project status.
Easy Tracking
Track your projects with tools like Asana, Trello, or ClickUp. These tools keep goals front and center and highlight the critical path for all projects. They also help hold everyone on the team accountable. You can build dashboards to track projects and assign tasks, even with products like Slack or Microsoft Teams.
For instance, Bosch employs Asana to enhance collaboration across its global teams, manage complex projects, and ensure timely delivery of products. Asana’s project tracking and task management features help Bosch maintain efficiency and productivity in their manufacturing processes.
So Remember:
A cloud-based collaboration tool will be easy to access for all employees, existing and new.
Sharing information is easy with a cloud-based tool that also has web based options.
Centralizing information makes tracking and building dashboards straightforward.
Action Step:
Select 2 or 3 of the above tools. Try out the free version or at least a month and then implement the best one for you, free or paid. Also, feel free to find your own tool.
